Terms and Conditions - Weddings & Events Floristry Service

Consultations and quotes

Consultations are complimentary but by appointment only to ensure I am available to help you. Quotes are valid for 10 days. A quotation for the cost of your flowers will be sent to you after the initial consultation, this is a guide price as you may make changes later in the process and the cost of flowers for the Florist may change.

Bookings and payment

When a date is booked a 10% deposit is required. The deposit is subtracted from your final invoice. Once the deposit has been paid then the prices and dates are secure unless otherwise stated. Payment of deposit is an acknowledgement of our Terms and Conditions. You will receive a final invoice approximately 30 days before your event in which full payment is required. Payment is accepted by cash, invoice or direct payment via bank transfer. If payment is not received, flowers will not be ordered.

Cancellations

In the event of cancellation from the client, the event booking fee will not be refunded. Any cancellations made within 30 days of the booked event, 50% of the final balance will be required. Any cancellations within 10 days of the booked event, full remaining balance will be required. If through illness or for reasons beyond our control none of our florists are able to finish your  flowers we will employ a freelancer or pass your order to an available florist who will work to our quoted prices.

Postponement

I value the health and welfare of my clients and this is my policy regarding a postponement due to illness. If you are postponing your event, please check availability with us, as your booking fee is non-refundable if we already have a booking on your new date. If we are available, your booking fee will be transferred to your new date. Please bear in mind that availability of certain flower varieties will change from season to season.

If the postponement is prior to ordering your flowers, I will be happy to use your booking fee for a future date. If your flowers have been ordered, received, processed and/or designs created, you will be financially responsible for the flowers and all labour provided. If you book 2+ years in the future your quotation may change due to inflation but will unlikely exceed 10% either side of your original quotation.

Availability of Flowers

We do not guarantee specific stem types. We will work with your wish list and if available we will include your specified flowers/foliage. However, if they are unavailable or of poor quality, we will use suitable alternatives which match closest to your requirements. All fresh flowers are subject to availability and undergo stringent quality checks.

Hire of vases, china, candelabras etc.

Charges are applied for any damage to glassware/china/props etc. Replacement of goods is charged at the current purchase price at the time of your event. It is the responsibility of the hirer to reclaim any of these costs from the venue if the venue was at fault. If charges apply due to loss or damage, you will be invoiced and given a 14-day period to settle the costs. Equipment hired remain the property of Somerset Blooms at all times.

Use of magnets

You may be asked if you would prefer magnets instead of pins to attach corsages and buttonholes onto clothes. Please ensure that guests wearing magnets do not have a pacemaker fitted. A magnet may stop the pacemaker from working properly. Somerset Blooms accept no responsibility for any resulting health issue which may arise from magnets and pacemakers or ICDs.

Details and amendments

If changes are to be made to your flowers we have discussed, these have to be confirmed in writing. Written requests ensure that no mistakes or misunderstandings are made when it comes to the final list of flower requirements. We will contact you approximately 40 days before your event to confirm all of your requirements and final details. Fresh flowers are a living product and are dependent on weather conditions, stringent quality checks and influences beyond our control. On exceptionally rare occasions we may have to substitute a specific flower. In this event, the integrity of the proposed colour scheme will be maintained and flowers of equivalent value will be used. You will be notified of any adjustments.

Complaints

Any complaints must be made within 24 hours along with photographic evidence. No responsibility can be taken with regards to poor condition once flowers have been approved. For clarity, we consider 'approval' to be a visual inspection by the client or by their nominated person on the day.

Deliveries and set up

Wedding and event flower deliveries will need to be signed for. Please check the flowers carefully and ensure any discrepancies are communicated to us within 30 minutes of delivery. We will not be responsible for any injuries or damages sustained as a result of broken glass, materials or dyes that may be used to colour the water or flowers for you. Liability is limited to the supply of goods only. No responsibility will be accepted for any consequential loss. Removal of all flowers from the venue is your responsibility unless previously arranged and included in your quote.
